IMAP / Outlook server settings

For the last few years I've been using Gmail with several pop3 accounts attached. I thought it was great with everything in one place.

Then last week I found out that I was not getting some emails through, and they were just sat on my server. Kind of important as they were emails about job offers and solicitors selling the house etc.

The iOS mail app on my phone seems to work perfectly combining the inboxes into one and syncronising changes etc.

The issue is, I have about 4 years worth of emails to sort out (99% spam, which google was handling on the gmail side).

Outlook OWA seemed to be a perfect solution as it had rules for quickly bulk processing emails from different things as well as spam rules...at first glance everything seemed to be ok, but then I checked and essentially it's behaving like gmail did, leaving a copy on the server. So I can sort all my emails in outlook but then the mail app and my server continue to fill up.

I was wondering if anyone has any experience with this stuff and can suggest anything to try so that when I archive an email, or delete it, in outlook OWA, it actually performs that action on my server too?

as an alternative, have you tried blue mail? Clusters may be useful to you

for owa - you need to right click on your trash can to empty it. That should delete it from your imap server

I'll give Bluemail a go.

Purging doesn't seem to help as essentially the mails in the inbox never get moved to the trash on the server.

The flow is:

New email comes in on outlook. I archive it or delete it. Can even empty the trash on outlook (if it's there) or view the email in the archive folder.
I log in to the webmail on my server, and the new email is there, unread.

It seems that Outlook is just doing a read only affair for some reason, even though the apple mail app works perfectly both ways!

IMAP is purposefully designed to not delete from the server unless explicitly set to, that's how you can access your email from multiple devices without it downloading to one singular device, which is how POP3 works. You just need to find the right combination of settings or decide which device/app you want to be the one source of truth for mail.

I can appreciate the not deleting unless explicitly set to thing, but it seems strange that something like Outlook online has no obvious setting that allows you to say "delete from server when deleted in Outlook"...unless I'm being a numpty and I'm not setting the server settings up correctly.

Bluemail seems to work reasonably well, the clusters has helped speed things up a bit though it's a bit hit and miss as to what it decides to group together!

you may need to purge the folder to delete them off the imap.
take a look in your account settings & more settings. There is deleted items

I keep finding reference to settings that existed in 2013 too, but not now it appears, such as pop-deletion settings to force outlook to remove from server when deleted, not just move the items to the deleted folder. Argh.

you should be able to highlight the folder & purge the whole folder. Anything you can check server side for delete off server option?
